It is straightforward to reformat spreadsheets or databases these days - definitely NOT critical. Worrying about format should not put anyone off from keeping or starting to keep records.
The best way to ensure the future of our plants is to propagate and distribute the material. That is where, in my opinion, most Botanical Gardens could do far more.
